RATES/ VALIDITY
All rates are quoted net to U.S. Dollars at current rate of exchange and are subject to change without prior notice. All rates are valid from November 01, 2009 until October 31, 2010.
Compulsory gala dinners & peak season surcharges during public holidays (X'mas, New Year & Tet "Lunar New Year", apply for different periods at different hotels and will be advised at time of booking.

GROUP BOOKING POLICY
For group bookings of minimum 15 full-paying persons, the 16th person is free of charge in half-twin.
For group bookings of minimum 20 full-paying persons, the 21st person is free of charge in single room.

CHILD POLICY

Package tours:
Children under 12 years old sharing room with 2 adults and requiring extra bed are granted 15% discount; children under 12 years old sharing room with 2 adults without extra bed are granted 25% discount.

Accommodation only:
No additional charge if children up to 11 years old shared room & existing beds with parents (no breakfast included). If an extra bed is requested, the applicable rate as per our tariff for an extra bed will be charged, which also includes breakfast.

PAYMENT
A deposit of 30% of the tour cost must be made by wire transfer upon receiving the final tour confirmation. The balance must be received at least four weeks before the commencement of services to the owner bank account of Orient Trails (Vietnam) Co., Ltd as followings:

CANCELLATIONS
FIT travelers - Cancellation charges are calculated from the day the written notification is received by the company or agent as a percentaqe of the net total tour price, as shown plus any surcharges (eg. Ticketed air sectors, other penalties imposed by suppliers such as hotels):

29-21 Days before departure 10%

20-11 Days before departure 25%

10 - 3 Days before departure 45%

48-24 hours before departure 75%

Within 24 hours/ no show 100%

Cancellation of air arrangements will be subject to fees charged in accordance with the type of airfare used and airline tariff regulations. Refunds will not be given for unused or cancelled services after the tour arrangements have commenced.

GROUP travellers will incur different cancellation policies, please inquire at the time of confirmation.

LIABILITY
Orient Trails.,Ltd Co acts as intermediary between the concerned airlines, hotels, transport operators and local tourist offices providing the services. Orienttrails.,Ltd Co is therefore not responsible for any loss, injury or damage sustained by tourists, including those occurring outside the tour programs. Additional expenses incurred due to delay, accidents, natural disaster, political action and unrest must be borne by the tourists. Programs, prices, services, and conditions are based on those valid at the time of printing and are therefore subject to change without advance notice before or during the tour. Participation in our tour implies the tourist's agreement to the above conditions.

TOUR INFORMATION
Most tours are available with daily departures. We further offer several seat-in-coach tours with fixed departure dates. Since flight schedules vary from day to day, schedules of sightseeing tours may sometimes require adjustment. Although Orienttrails., Ltd offers a selection of accommodation at various hotels, it may not always be possible to confirm accommodation as requested due to very limited room capacities during certain periods and certains parts of Vietnam. Alternative accommodation can in some cases be at sub-standard hotels, which lack essential facilities. No refunds can be made for any shortcomings related to accommodation in Vietnam. Visa fees are not included in the tour prices.

Domestic airfares & tax in economy class, detailed in the programs

Hotel accommodation (twin share basis) including breakfast, detailed in the programs 

Meals as mentioned in itineraries, food only.

Entrance fees, boat fees, cyclo fees as detailed in the programs

English speaking local guides. (Italian, Spanish, Japanese, Chinese and Russian speaking guides can also be arranged at additional cost - subject to availability).

IMPORTANT NOTICE
Please note that, Ho Chi Minh Mausoleum in Hanoi is closed every Monday and Friday and for the full duration of October and November. Museums are closed on Mondays and partly on Fridays.

We further would like to advise that, because of frequent flight changes and cancellations by Vietnam Airlines we cannot fully guarantee that the proposed itinerary can be carried out as planned. Based on our experience changes of departure times and/or cancellations can occur at very short notice even after confirmations for a flight have been received. Same applies for train travel - schedule changes occur frequently and sometimes without prior notification.

In case of schedule changes or flight cancellation we will always try everything human possible to arrange an alternate program within the framework of the original quoted costs. However we reserve the right to charge any cost exceeding the original budget to the tour operator/travel agent or to the participant of a tour after consultation with the agent.
